This page explains, in plain language, what information the Saudi Youth Healthcare Forum 2026 website collects, why, who handles it and what you can ask us to do with it.
Last updated: 9 October 2026
This page is a draft and is being reviewed before launch.
What we collect
When you register, apply or enter a competition, we ask for:
- Your name in English and Arabic, email address and phone number.
- Date of birth, gender, nationality, country and city.
- An identity number (National ID, Iqama or passport), used to confirm who you are at on-site check-in.
- Your university, major, academic year or specialty.
- Optional details such as a LinkedIn profile and your answers to free-text questions.
- Research abstracts you submit.
- For MEDATHON: your team’s details and the files you upload (PowerPoint or PDF).
- At the event: a record of which sessions you attended, taken when your pass is scanned.
Why we use it
- To review applications and confirm places.
- To issue your pass and check you in at the venue.
- To send emails about your registration: confirmations, results and reminders.
- To run the competitions, including judging submitted work.
- To issue attendance certificates.
We do not sell your information and we do not use it for advertising.
Who can see it
The SYHF 2026 organising team can see applications in order to review and manage them. Staff see identity numbers masked; the full number is used only to confirm who you are at check-in.
Services that process data for us
We use a small number of service providers to run the website. Each one handles only what it needs to do its job.
- Supabase: our database and file storage.
- Brevo: sends our emails.
- Netlify: hosts the website.
- WalletWallet: creates the digital pass you can add to Apple Wallet or Google Wallet. If you add a pass, your name and registration details shown on the pass are sent to this provider and to Apple or Google.
What we store in your browser
The website keeps a small amount of information in your own browser so it works smoothly:
- A draft of a form you have started, so you do not lose your answers.
- Your language choice (English or Arabic).
- A sign-in token for the MEDATHON team dashboard.
You can clear these at any time from your browser settings.
Page-view counting
We count page views ourselves, without third-party trackers and without cookies. Each count records only the page, the language, a rough screen size and the website you came from. It does not record your IP address or any identifier, so visits cannot be linked to you. If your browser sends a Do Not Track signal, nothing is counted.
How long we keep it
We keep your data only as long as needed to run SYHF 2026 and meet our obligations.
Your choices
You can ask us to correct your information or to delete it. Email team@syhf-ksa.com from the address you registered with and tell us what you would like changed. Deleting your data may mean we can no longer keep your place at the event.
